How to Use the Split Task Tool in Microsoft Project

When managing a project, there may be situations where a task needs to start, stop due to planned outages or downtime, and then resume later. In Microsoft Project, this can be easily handled using the Split Task tool. In this guide, I’ll show you how to split a task step-by-step, so you can manage your schedule effectively.

Using the Split Task Tool

To split a task’s Gantt bar into one or more parts, so that the task starts, stops for a period of time, and resumes again, complete the following steps:

  1. Click the Task tab to display the Task ribbon.
  2. In the “Schedule” section of the ribbon, click the “Split Task” button.
  3. Float your mouse over the Gantt bar of the task you want to split. You’ll see a floating tooltip that shows the Scheduled Start date information.
  4. Position your mouse pointer in the Gantt bar on the date on which you want the task split to begin, then click and hold the mouse button.
  5. Drag the Gantt bar segment to the right until the floating tooltip shows the date you want the work to resume, and then release the mouse button.

When you split a task, Microsoft Project displays a “task split” indicator (the … pattern) in the middle of the task’s Gantt bar. You can split a task as many times as necessary using this tool. Simply repeat the preceding steps to create additional task splits.

Final Thoughts

The Split Task tool is a simple yet powerful feature in Microsoft Project that helps you manage tasks with planned breaks or downtime. Now that you know how to use it, you can better handle scheduling challenges that arise during your project planning. If you have questions, please add them in the “Leave a Reply” section below.
